I was recently asked for career advice by an unemployed design engineer. It actually caught me off guard because I always thought of engineers as among the most employable people out there. They usually are degreed individuals with great problem solving skills. I know engineers can major in different disciplines and often get specific degrees in chemical, electrical, mechanical and also many other areas. Most that I have met seem to have the two traits I believe are desirable in any employee: organizational skills and problem solving abilities.

Here is where it gets a little tricky though. My client had 8 years using one particular simulation software. It was one of two or three most often used in his industry, so when he interviewed with a company using a different software application, he needed to sell himself as able to quickly become proficient in that program. Not an impossible task, but he was competing against others who could claim to “hit the ground running”. My first reaction was why not learn all the top software? As he pointed out, because it can take hundreds and sometimes thousands of hours of training and actually using a powerful software to become proficient at it.

This issue prompted me to start thinking about the best way for people to prepare themselves for employment in an area where they might be using software to perform a large part of their job. would it be best to try and learn the basics of two or three of the most widely used programs, or better to become as proficient as possible in one? First, let’s take a quick look at some of the larger employment sectors and see if we can’t list a few of the competing software companies in each sector.

Engineering/Design. One type of program used is CAD, an acronym for computer aided design. Three of the larger ones in use are Catia, SolidWorks, and Unigraphics. Business/Enterprise. These are softwares used to run large companies or enterprises or even just certain aspects of enterprise. SAP, and Oracle are good examples. Accounting/Small business. Peachtree and Quickbooks come to mind.

I am going to go out on a limb here. Based on experience in recruiting and SAP training, I believe it is best to become an expert in one software program or even in one specialized area of a software. The old adage of “jack of all trades and master of none” is unlikely to land you a prime position in a competitive employment landscape. Your expertise in a given area may even carry over into associated areas in the eyes of a company.

Of course their are dozens of employment areas and dozens times dozens of softwares to go with them. I’ll assume that you already have an idea of what type of work you want to be doing. Let’s just say you are working in or looking for a job in small business accounting or bookkeeping. Do you intend to stay in your current geographic area? If the answer is yes, then do your research and try to find out what program is used most in your area. Learn that program if you want to increase your chances of finding a job. If you are looking to relocate, then your research should focus on discovering the most widely used in the whole nation or area where you hope to relocate to. You can also use other criteria when making a decision on what software program. Does one pay more than the other? Has one been around longer and is the company that makes it secure?

Is it only used by one mega company and no others?

For my engineering friend my advise to him was to take more training in the program he had used for so long. His value was in knowing that software and additional training only strengthened his value.

There are so many simple ways to save time during our busy day that they are easily overlooked. Sometimes we just overlook the obvious. But being prepared with lists, notes, ongoing files, and systems will help you screen out those unwanted distractions and focus on the important matters at hand. So let’s get down to business!

Here are some tips to manage your time:

First and foremost, Set priorities. Determine what is most important. Everything’s not an earth-shattering emergency! Someone else’s perception of a priority does not mean it is so to you. Discern what needs your attention immediately, what can be delegated, and what can be addressed later. Remember, prioritizing is the key to mastering the use of time. Regardless of how your priorities are defined, we could all use some extra time in the day. The following are some time management ideas that can help increase your productivity and improve the quality of your life. Try incorporating just a few of these ideas and see how it affects your life.

1. Plan your day the night before. List and prioritize the top five objectives you desire to accomplish when you get to the office. Start with the number one item on your list and stay with it until it is complete. Try to do the most difficult tasks first.

2. Get to the office early. You will never be successful in the sales profession if you get into the habit of coming to work at the “crack of noon.”

3. Use a diary or digital organizer. With so much to organise in your busy life you need to record your appointments, things to do and goals somewhere. Preferably in a paper diary or digital organiser that you can take everywhere. This is the most effective way to get things done, plan your work and your life.

4. Get in the habit of using a To Do list every day. At the end of each day, make a list of items to complete the following day. This helps you put closure on the day so you do not leave worried about forgetting the tasks that await you tomorrow.

5. Clean out the Clutter. You will save yourself heaps of time, energy and money if you clear out your work and home environment paperwork, books, old equipment etc. You will be able to find things, save money because you won’t have to buy what you already have hidden somewhere, plus you’ll be less stressed.

6. Use the Right Tools. It’s no good having the latest whiz-bang computer when the desk that you sit at is too small to accommodate it, or the chair has poor back support, or the lighting is dull causing you eyestrain and fatigue. All these factors heavily influence how you work. Invest or ask for a decent desk, purchase a desk lamp or request the light globes be changed. Don’t avoid the warning signs your body gives you. Take action now before you have eye, back or neck problems.

7. Resolve to do today what you wanted to do tomorrow. Make a catch-up list of tasks you have avoided or put on the “back-burner” and rank them from the most important to the least important. Resolve to do at least one task from this list each day.

8. Do your most difficult work when you are in your peak performance state. If you’re an early morning person, do that extra-effort-needed project first thing in the morning. If late evening hours are more your speed, save that high-energy project for that time.

9. Place your phone on voicemail mode at strategic times of the day. Voicemail is wonderful for those times when you’re either feeling sluggish, want some quiet time, or just want to get a project done. You can access your messages later and return calls on a priority basis.

10. Learn to say NO once your priorities are set. Avoid interruptions. Set aside a period of the day as “off-limits” during which time you will not be interrupted. Use this time to work on your “A” or top priorities, or even as a designated time to handle your mail or return calls. One way to avoid interruption is to make it clear that when your door is closed you are not to be disturbed. Other way is to Let others in your home/office know when you don’t want to be disturbed.

Constant interruptions are annoying and distracting; they are also time-zappers. Letting people know when it’s ok to interrupt and when it’s not is crucial to time management.

11. Schedule your phone calls around your peak performance levels. You want to give your customers/clients your very best attention and this requires energy and enthusiasm.

12. Avoid Unnecessary Meetings. Before agreeing to attend a meeting, check if you really need to be there. Maybe a phone call or email will be just as effective.

13. When you need a swift response, send an Email or make a phone call whenever possible to avoid time delays in receiving an answer.

14. Do What You Do Best and Delegate the Rest. At work see if there are ways you can delegate tasks which would suit someone else’s talents. Many office and home based workers are spending heaps of time on mundane secretarial tasks which would take a person who is trained in that area a quarter of the time to undertake. Assign tasks to another or others to give you more time to handle the tasks which only you can do. Effectively multiplying your time is the ultimate time management technique. Remember, everything that needs to be done does not have to be done by you. Delegating to another person can save you a lot of time in mundane tasking. Delegate, delegate, delegate. Avoid the temptation of doing administrative duties and paperwork. Salespeople historically tend to hide behind their paperwork. Focus your efforts on the things that you are licensed or hired to do and consider employing someone else to handle your paperwork. If you have any doubt, ask yourself “What is the best use of my time right now?”

15. Instead of a to-do list, create a goal for the day. Throw out the to-do list that never gets done, causes you stress and frustration, and makes you feel like a failure. Instead, set yourself a single goal for the day.

16. Schedule free time. Find at least one day each week during which you do no work or business at all. You will get a better perspective on your work after you have time away from it.

17. Look After Yourself First. Exercise regularly, eat healthily and be around positive people. Feed your mind by attending personal development courses. Read self-help and motivational books, listen to tapes. Do the right thing by yourself and you’ll have heaps of energy, be motivated which in turn will help you be more productive.

Time management really can be easy. A fact! You are in control of your time. If you take away one time management tip, remember that good time management is about knowing what is most important and doing that the most. Do not forget the most important time management tip make time for yourself. You are no good to anyone if you are sleep deprived and miserable. We all deserve a little downtime, even if that means you have to schedule some time for yourself into your calendar each day. Your business, family and relationships will all benefit when your priorities are in order and you have balance in your life.

By following these simple yet very effective ideas you will have more control over your work and your life, experience less stress and be more proactive. All of these factors affect your general well-being, confidence and results.

The direct costs are quantifiable and can be measured. The cost of an employee or the business owner managing his or her own books, running his payroll, filing sales tax or payroll tax reports, running financial reports, etc. multiplied by his or her hourly wages.

If a business owner spends 15 hours per month on bookkeeping, accounting or payroll tasks and their time is worth $50 per hour or more then the direct costs are more than $750 per month. If an employee is performing these tasks then all wages including benefits and payroll taxes have to be factored in as well as the time an owner spends managing and training the employee.

If the hourly wages for an employee including benefits, equals $25 per hour and a business owners has to spend an additional 2 hours each month managing and training the employee then the direct costs are $475.

The indirect costs are not as transparent or as easily measured but may be even more significant. The indirect costs can include lost sales opportunity, decreased efficiencies and higher expenses in operations, a decrease in customer service or overall quality of services or products being sold, simply due to the business owner having less time to spend managing the operations side of the business.

Indirect cost may even include mistakes due to an insufficient understanding of the subject matter, laws or filing deadlines. It may also include in an inability to access financing due to an improper corporate structure or poor financial reports that lack supporting backup documentation.

It has been our experience as a professional CPA firm that has looked at thousands of owner prepared financial statements that the vast majority of them are incorrect and in many instances have contributed to the failure of a business.

Finally, lawyers, CPAs and other professionals will typically spend more than a hundred thousand dollars investing in their education and learning to practice in their respective fields. They then have to pass a rigorous exam showing a proficiency and understanding of the knowledge in there respective fields. Most likely they will have dealt with hundred of clients and thousands of unique situations. This experience should not be minimized or dismissed.

When the investment of hiring a professional CPA is matched against the direct and indirect costs of not hiring a professional CPA, the decision will be a “no brainer.” By hiring a professional CPA firm a business owner realizes the following benefits: he or she frees up valuable time to manage their business; the bookkeeping is done correctly so that the owner has accurate timely financials to make informed decision; financials are available to a banker or venture capitalist when financing is required; the business owner stays in compliance with the tax laws.

Every good thing has to start somewhere, and even QuickBooks Enterprise, the number one financial management software for mid-sized companies, originates from humble beginnings. As an introduction, QuickBooks Enterprise is a business software designed to automate and streamline various business processes to make things easier and work faster within a company. But how did it get to be the number one of its kind?

It all begins with Intuit

The humble beginnings of the QuickBooks Enterprise Solutions as well as other popular QuickBooks products such as QuickBooks Point of Sale can be traced to the history of Intuit. Intuit is the company that created and developed the QuickBooks Enterprise financial management software. The company was founded back in 1983 by partners Tom Proulx and Scott Cook. Intuit started out in Mountain View, California. Its first product was Quicken, a financial management software targeted to individual users. After the success of the product, the company thought to extend the same benefit to business owners and managers like you.

That was when QuickBooks was created, and soon, other business solutions followed such as the QuickBooks Point of Sale. These products touched not only on accounting matters but also streamlined the entire structure of the business. Now, the QuickBooks Enterprise Solutions package has played a key role in the success and growth of several mid-sized businesses.

When QuickBooks Enterprise was introduced

Upon the introduction of QuickBooks Enterprise, it was immediately greeted with a warm welcome especially from business owners who do not have formal training in in-depth accounting. The QuickBooks Enterprise Solutions took that responsibility off their shoulders. It did not take long for the system to claim up to 80% of its target market, focusing mostly on small businesses. QuickBooks Enterprise: Further developments

The rise to fame of QuickBooks was not without stumbles. Professional accountants, unlike the business owners and managers, critiqued the system for deviating from traditional accounting purposes.

In order to develop further, Intuit used these critiques to turn the product around. Intuit responded to the accountants’ feedback by using them to improve the QuickBooks products. Thus, several other accounting features were added. Some of these were audit trail capabilities, double-entry accounting, industry-specific reports, and several other great features, most of which were added in the period between 2000 and 2003. During this time, a basic and a pro version of Enterprise QuickBooks were released to cater to varying levels of needs.
